Booking Instructions

Attendees can conveniently request and manage room reservations direct within the hotel system.

*Please note: in order to receive the discounted rate, you must book your hotel room by October 7.

Step 1: Register for UGM 24!

Step 2: From your registration confirmation email, click on the “Reservation website” link.

Step 3: Enter your contact information, arrival date, departure date, and any special request information.

Step 4: Enter your credit card information.

Step 5: Verify the accuracy of your reservation request and click on the “Book” button to complete the reservation.

Step 6: Print a copy of your reservation request details for your records.

Hotel accommodation is the financial responsibility of each registrant. Reservations are not included in the registration fee and cannot be secured without a valid credit card. You must have the credit card you want to pay with when you check in to the hotel. If you will not have the credit card with you, contact the hotel at 615-889-1000 to authorize the credit card for your stay.

Gaylord Opryland is located approximately 10 minutes from Nashville International Airport, BNA.

Self-parking and valet parking are available at Gaylord Opryland for your convenience.
 

  • Self-Parking: $37.00 plus tax per night

  • Valet Parking: $50.00 plus tax per night

Important Hotel Information

Hotel Guest Policy

Children 11 years of age and younger are free when occupying the same room as their parents.

 

In-Room amenities included in the room rate:

  • Resort-wide internet access

    • In-room internet access for up to 6 devices

    • Basic wireless access in public areas and convention center

  • Unlimited local and domestic long-distance calls

  • Daily shuttle service to Opry Mills mall and the Inn at Opryland

  • Shuttle transportation to scheduled Grand Ole Opry and General Jackson Showboat Performances

  • Complimentary fitness center access

  • Bottled water (2 daily) replenished once daily with housekeeping service

  • Daily credit of up to $10 per room towards dry cleaning (credit is not cumulative through stay)

  • Gaylord Spring Golf Links access including a practice range and daily bucket of balls

    • Rental clubs are available for an additional fee.

Hotel Confirmation

Gaylord Opryland will email your hotel confirmation to the email address you provide during your reservation request. If you have questions about your reservation, please call the hotel reservation line at 615-889-1000.

 

Hotel Payment Policy

All guests are responsible for their own guest room, taxes, and incidental charges. Attendees will be charged an advance deposit to hold your reservation at the time of booking.

 

Once you arrive at the hotel, you will be asked to present a valid credit card at check-in. You must have the credit card that you want to charge with you. For security purposes, if you are not the cardholder, please send an email to lhejazi@gaylordhotels.com to fill out an authorization form.

 

Note that checks are not an acceptable form of payment for your hotel stay.

 

Hotel Cancellation Policy

Individual attendees may cancel their guest room/suite reservations without penalty (5) days prior to your scheduled arrival date. Any remaining nights of a “no-show” reservation will be cancelled.

 

If you need to cancel your reservation, refer to the link in your booking acknowledgement email from Gaylord Opryland or call 615-889-1000.

Attendees understand and agree that certain information furnished to you by Company in connection with NextGen UGM, regardless of the form in which such information is presented, is confidential, non-public and/or proprietary information ("Confidential Information") and is the sole property of Company. You agree not to disclose the Confidential Information to any third party for any reason whatsoever, and to protect the Confidential Information using the same degree of care you use to protect your confidential information (but in no event less than a reasonable amount of care), for a period of two (2) years from the date hereof. By registering for NextGen UGM you agree to the processing of your personal data by Company as described in our Privacy Policy located at https://www.nextgen.com/privacy-policy.  A portion of your room rate goes towards UGM 24.
